Notion Review: Is This Project Manager Right For You?

While a relatively new entry into the project management space, Notion has evolved quite quickly to meet the needs of its users. It’s a platform that is notable for its versatility, and it is a well-known option for individuals and teams who want a reliable tool to organize and manage tasks–from note-taking to in-depth project management.

But does it incorporate the best project management techniques to help you or your team get organized?

Let’s find out.

What is Notion?

Notion is a cloud-based workspace where individuals and small teams can take notes, create documents, track projects and organize and manage tasks all in one place. It’s often referred to as an “all-in-one” workspace because users can collate all of their projects onto a single platform.

Notion’s popularity among professionals and students is credited to its personalization that caters to any workflow. As a user, you’ll have the freedom to customize the layout of your workspace, while still getting helpful guidance and templates to help you get started.

Background on Notion

Founded in 2016, Notion started as a note-taking app but has evolved into a comprehensive project management tool for solopreneurs and small teams. The platform’s mission is to make it possible for people to shape the productivity tool they use every day to match their needs.

Notion Homepage

Getting Started with Notion

Every feature on Notion is designed to help users be as organized as possible.

The platform is segmented into pages that can be nested or interlinked at your convenience. As soon as you sign up, you’ll be redirected to your Welcome screen containing some tips to get started. This includes linked videos that guide you in creating your first page and setting up your to-do lists and projects.

Notion Dashboard

On the left side, you’ll find a list of default pages, such as ‘Quick Note’, ‘Personal Home’, and ‘Task List’ which you can customize and add. Whenever you create a new page it will show up on the left panel. You can add personalized header images, descriptive comments, and add associated icons to your pages.

Simply click anywhere on a page to add blocks for individual pieces of content such as text, lists, media, links, and sub-pages. You can also just type “/” to bring up a menu of blocks you can add to your new page. Notion Customized page Notion Customized page

How Notion Works: Key Features

Although Notion started as a note-taking app, it has become far more than that. The tool has promising features that go beyond creating to-do lists and make it a competent productivity and project management app.

Integrated User Guides

A commendable feature of Notion is that user guides are already embedded in the platform. For example, if you want to create a new document, you’ll find guides on how to get the most out of the preinstalled page.

Of course, this can be a hit or miss. Some users may be grateful for the step-by-step guides, while others may be frustrated with manually deleting pre-installed guide pages to clean up their workspace.

Notion User Guides

Customizable Pages & Templates

Notion makes it easy for you to create pages and documents in whatever style you want. Pages are like folders where you can store all information related to a particular topic. You can include a range of blocks or items on your pages such as text, toggle lists, to-do lists, images, video links, tables, boards, and maps.

Every change you make to a page or block is automatically saved in Notion. So you can always go back and view the history of a page if there’s something that you want to restore. This is pretty useful for when you make a mistake or just want to experiment with different versions of a page.

Notion Pages

Notion is also very generous when it comes to templates. It provides users with a ton of options, whether they’re creating blog posts, articles, event schedules, or product launch plans. Fortunately, all templates are fully customizable so you can modify them to your taste without having to build from scratch. The platform also encourages users to submit their own templates so the library grows to fit a wider range of needs.

Notion Templates

Collaborative Workspaces

Users can create different workspaces for different projects, which is useful if you need to manage multiple projects at once. Every workspace will have its own pages so all your information will remain separate and organized.

Notion allows you to invite other people to your workspace so you can collaborate in real time. The limit of guests you can have at a time depends on the plan you choose.

Integrations

As a good workspace should, Notion integrates with a wide range of popular productivity tools so you can easily share information across the platforms you use. These tools include Slack, GitHub, Zoom, Trello, Google Drive, and more.

For instance, you can make use of the Google Drive integration to quickly add and share files from your Google Drive directly to your Notion workspace.

Notion Integrations

Notion AI

Notion AI is a relatively new feature for workspaces. It’s a connected assistant powered by GPT-3 that’s developed to help boost your creativity and write content faster. Essentially, it eliminates the need to jump between your work and a separate AI-powered tool.

The feature can help you generate ideas for blog posts, social media posts, press releases, job descriptions, meeting agendas, and more. You’ll also be able to summarize pieces of content, correct spelling, and grammar, and translate text (English, Spanish, Chinese, and French).

Notion Use Cases

Solopreneurs

Individuals who are working freelance will benefit from an organizational tool like Notion. It can help with a variety of processes such as:

  • Documenting and managing career goals
  • Organizing projects for different clients
  • Managing content creation schedules

Professional teams

Small professional teams can benefit from Notion’s features because it ensures that all team members can collaborate on the same tool for multiple purposes. These purposes include:

  • Planning meetings and recording meeting notes
  • Setting task lists based on priority
  • Drawing up onboarding documentation for recruits
  • Brainstorming internal team goals (digital suggestion box)
  • Organizing a company roster
Notion Meetings Pages

Students

Students also make great use of Notion because of its impressive note-taking and organizational capabilities. Students can easily organize their notes by class and keep track of all reading and assignments (by the due date) for each class. The best part is Notion can even allow easier collaboration for group projects since the free plan allows sharing with up to 10 guests.

Notion Note Taking Screen

What makes Notion stand out from other platforms?

Notion stands out in two major ways; it’s very customizable to support any workflow, and it brings all work together in one shared location.

Unlike many productivity tools, Notion doesn’t just focus on solving one problem, such as organization. The way Notion is designed gives users the freedom to mold their workspace in a way that works best for them. On one hand, individuals can use it to keep their notes, to-do lists, calendars, and journals in one accessible platform. Additionally, professional teams can use it to build collaborative docs, product roadmaps, and wikis for their company.

Notion Pricing

Notion has four pricing plans: Free, Plus, Business, and Enterprise.

  • Personal (Free): The forever-free plan allows users to create unlimited pages and blocks with an allowance of 5MB file uploads. You can also share or collaborate on projects with a maximum of 10 guests, and receive basic page analytics, 7-day page history, and integration with other tools such as Slack or GitHub.
  • Plus ($8/month per user): The Plus plan is geared towards small professional groups. On this plan, you can invite up to 100 guests for collaboration. You’ll also get unlimited file uploads and 30-day page history.
  • Business ($15/month per user): This plan is for companies that use Notion to connect many teams and tools and you can invite up to 250 guests. You also get authentication features (SAML + Single Sign On), private team spaces, bulk PDF export, advanced page analytics, and 90-day page history.
  • Enterprise: This subscription is targeted toward medium to large businesses and offers more advanced capabilities. You will need to contact the Notion sales team to discuss the pricing plan that fits your business’s complex needs. You can request a trial of this specific plan if you’d rather try it before making any significant investment.
Notion Pricing Page

Unfortunately, none of the plans come with Notion AI because it’s an optional add-on. It costs $8/month per member and is billed annually at $96. If you’d rather pay monthly, it’ll set you back $10/per month per member.

Notion AI Page

Notion’s Pros and Cons

Pros

  • The customization features are better than most.
  • A great solution for note-taking and creating to-do lists.
  • You can use Notion to create wiki pages or simple websites with useful information about your business or products.
  • Pricing is affordable for solopreneurs and small teams.
  • The forever-free plan has sufficient features for solopreneurs.
  • The structure of folders allows for shortcuts so you can reach your content from multiple places.
  • Notion’s tutorials are comprehensive for everyone to understand and the support team is responsive and helpful.

Cons

  • Although Notion’s UI is very usable, it can sometimes get cluttered once you start adding multiple projects, which can be overwhelming for newbies.
  • Advanced project management features, such as reporting, time tracking, and Gantt charts are lacking.
  • Managing multiple projects on Notion can become tedious.
  • Security features are lacking, as basic features like two-factor authentication are not available, even for paid plans.
  • Notion AI is billed separately as an add-on.
  • May not be the best option for those looking for project management software for software development.

Is Notion Right For Your Organizational Needs?

Notion should be commended for its simplicity, familiarity, and affordability. If you need a straightforward entry-level solution for creating content and planning and managing projects then Notion is a great choice.

With that being said, large businesses that have complex needs may not see the platform as comprehensive enough to streamline their project management. However, Notion is a tool that keeps evolving and works hard to improve its capabilities to fit businesses of all sizes.

If you want to keep checking other project management software that may suit you better, Findstack has more helpful reviews and insights that you can take a look at. Our goal is to help you find the right tool for your needs.

What do you like best about Notion?

The ability to fully customize it, the different views for databases, being able to share pages to collaborate with your colleagues, being able to search your entire workspace!!! For me personally the biggest game changer is the relation property. Being able to link tasks to projects is really amazing.

What do you dislike about Notion?

literally nothing. It would be nice if I could search under specific pages intead of under all of the workspace, but without losing the ability to search the workspace, which is one of the most powerful tools in my opinion.

What problems is Notion solving and how is that benefiting you?

It is making all of my notes and literature review fully searchable and allows me to work in the same platform. Also useful to work in the cloud and be able to collaborate with others in such a customizable environment, very much outdos any other platform.

What do you like best about Notion?

Notion has replaced my planner, my idea notebook and my content management system.

What do you dislike about Notion?

There's lots of features and quite a learning curve!

What problems is Notion solving and how is that benefiting you?

Before using Notion, my work was spread out all over the place. I have never before been as organized as I am now using Notion.

"Capable sandbox for managing projects, organising knowledge and so much more"
What do you like best about Notion?

Notion can be as simple as a repository of notes that can be enhanced with a number of 'block types', from weblink previews to code blocks to PDF embeds. Or it can be as complex as several relational databases that can be used with filters and sorts to only give you the context-specific content you want to see. The pace of development recently has been great to see, with lots of little quality-of-life improvements but also some major improvements to how data can be handled and viewed.

What do you dislike about Notion?

There could be a steep learning curve to setting up Notion, but that's mostly on the user since it can be as simple as you want it to be for the most part. Lack of offline access is annoying at times and a dealbreaker for some, and when databases get too large performance takes a hit. Exporting options aren't the best.

What problems is Notion solving and how is that benefiting you?

I mainly use Notion to manage my PhD, using a Notes database to dump anything from lab notes, reminders, meeting notes, resources, etc. that can then be categorised and filtered according to actionability and category. I also have a Projects database to keep track of all the different projects I have going on, which is linked to the Notes database. It removes the worry of "where do I put this", "where DID I put this", and gives me all content related to whatever I'm working on in one place. I also use Notion for my personal life to manage the hundreds of articles and general content I read, to organise them into areas and resources that I can get back to when they're needed, and use them to start projects without the fear of a blank slate.

"Up your organization and productivity"
What do you like best about Notion?

Notion makes it possible to organize your work in a way that is unique to your needs. I use it for managing products, as a knowledgeable, and as a place to jot down notes and ideas.

What do you dislike about Notion?

The learning curve can be steep. Also, it is easy to try to do too much in notion, which can result in a messy space. Lastly, the search feature could be so much better than it is today.

What problems is Notion solving and how is that benefiting you?

Notion helps me manage products from ideation stage to launch.

"Notion is an amazing collaboration tool for teams."
What do you like best about Notion?

Team collaboration is the best aspect of Notion. Being able to give my developers tasks and have a good overview of task progression is something I really need in my company.

What do you dislike about Notion?

I don't quite know, I think everything works more or less flawlessly.

What problems is Notion solving and how is that benefiting you?

Notion is solving many problems for our team, most notable ones being that everyone is able to follow up on certain tasks. I prefer it more than JIRA or any other PM tool.

"I have found in Notion what - I think - it's left in other apps."
What do you like best about Notion?

I like the simplicity of the dashboard and the ability to take notes and keep tasks on track. Sometimes I stop using these tools because I get tired and bored. But Notes has been working pretty neatly for me so far. I am not that organized, but I like Notion is there for me, helping me to remember things and warning me about others. For the moment, this is what I need. Also, it has decent support, and it's much appreciated.

What do you dislike about Notion?

I feel that the browser extension lacks some functionalities, or at least it doesn't work correctly. The extension has no updates. Images not captured. Database missing.

What problems is Notion solving and how is that benefiting you?

It helps me manage my time more efficiently. Helps me organize my days but primarily for taking notes about my day-to-day activities. It also helps me to manage my calendar events in a better way. I can insert a variety of elements that I show/share them with my team.

What do you like best about Notion?

The formatting flexibility and the fantastic power of databases have really leveled up our documentation/internal wiki.

What do you dislike about Notion?

Sometimes, the flexibility is overwhelming, specifically with databases. We end up having some colleagues who create new database properties or options - it would be great if we could lock specific properties or page sections vs the entire page or database.

What do you like best about Notion?

The flexibility of the app itself and in how much different ways it could support and improve your daily work. It also perfectly fits for private coordinate and planning like I use it for example for my wedding planning.

What do you dislike about Notion?

There is not really something I dislike, but maybe only some issue we had with features that are deprecated now. But there we maybe also misused notion and it's features concerned rollup of a rollup.

What problems is Notion solving and how is that benefiting you?

Project status tracking is done with notion and as well documentation of requirements or customer information, functionalities etc. We also use it for monthly revenue planning and starting controlling with it.

"Notion is a life saver"
What do you like best about Notion?

Notion has helped me organize everything, from school, to to-do lists to tracking expenses or wish list items. It is the best way to keep everything organized together, compared to other apps where you might need a combination of apple notes, to-do list apps, and other tracking apps. With notion, you can keep track of everything in one app, in a tidy, and aesthetic way.

What do you dislike about Notion?

The only downside of using notion is that at the beginning, it looks a little overwhelming, but as long as you follow tutorials, or just copy templates and customize them to yourself, it is easy to get started. Once you understand the basics, it is very easy to build pages for yourself for whatever you need.

What problems is Notion solving and how is that benefiting you?

Notions helps me keep track of homework that is continuous, not just a database. It changes every day and is easy to add/subtract new tasks. It also allows me to sort things into different groups, or filter out specific info, when I am keeping track of notes or information.

"So flexible and powerful"
What do you like best about Notion?

Notion is a versatile productivity tool that offers several features, and what I like best about it is its flexibility. The timeline feature helps me keep track of my projects, and the table management feature makes it easy to organize my data. Additionally, the various views, such as calendar and board views, allow me to visualize my tasks in different ways. What's great about Notion is that it can be as easy or advanced to use as needed by its user, depending on their comfort level. It is a perfect tool for personal use, team collaboration, and project management. Overall, Notion is a powerful tool that can simplify your work and help you stay organized.

What do you dislike about Notion?

While Notion offers a lot of useful features, one of the things that I dislike about it is that it can become slow and less responsive at times, particularly when working with larger databases or more complex pages. However, it's worth noting that the Notion support team is usually quick to respond and fix any issues that arise.

What problems is Notion solving and how is that benefiting you?

Notion is a powerful productivity tool that solves several problems, making it an excellent choice for individuals and teams looking to stay organized and productive. One of the biggest problems Notion solves is the issue of scattered information, as it allows users to consolidate all their data into one place, making it easy to access and manage. Notion also offers a wide range of templates and tools, making it an ideal choice for everything from project management to marketing research. As someone who uses Notion regularly, I have found that the benefits it provides are numerous. For example, the ability to organize my work and collaborate with others has helped me be more productive and efficient. Additionally, Notion's marketing research templates have been incredibly useful in helping me organize and analyze data related to market trends and customer behavior. Notion's benefits aren't limited to individual use either; the platform's team collaboration features have been incredibly useful in product launches, helping everyone involved stay on track and aware of the project's progress. Furthermore, the ability to create press releases and share them with the team has streamlined the process of launching new products and features, making it easy to communicate important updates to both internal and external stakeholders. Overall, Notion is a powerful tool that solves several common productivity problems and offers numerous benefits to individuals and teams alike. Its range of templates, tools, and features make it a valuable addition to any workflow, and its emphasis on organization and collaboration makes it an essential tool for anyone looking to stay on top of their work.

"Four words sum it up - couldn't live without it"
What do you like best about Notion?

I ignored Notion for a long time despite some good friends, who I trust, recommending it. I just didn't see what the fuss was. Turns out I was wrong (not for the first or last time). Its initial simplicity hides a lot of features - but at the same time, it's this same simplicity that makes it very easy to use. Like all great tools, it can do a lot more than most people use it for, but there aren't hundreds of options cluttering the interface and making you scared to use it. And when you need more advanced features, there are likely to be there and easily accessible. Clearly, a lot of thought has gone into Notion's UI/UX.

What do you dislike about Notion?

Not a great deal to dislike. There could do with adding webhooks (there is an API which is useful for many, me included, but it doesn't do everything and webhooks would really make it superb).

What problems is Notion solving and how is that benefiting you?

It solves the problem of having data all over the place (as much as any tool can). You can put almost any data into Notion. Whether you want to is up to you, but even when you put data in other applications, there's a huge range of embeddable options so you can probably display it in Notion. It's my goto store for data. From complicated projects to simple note taking. No more hundreds of text editor/notepad files left open with forgotten but important notes.

"From "what a convenient tool" to "this is indispensable for my job" in two months."
What do you like best about Notion?

Notion is the perfect framework to build the precise tool you need, whatever your level of skill. And whatever you build now, you can improve and omptimise later on. I literally couldn't do my job if I didn't have the ability to reference any and every material I've created -- and it's all in one place.

What do you dislike about Notion?

Notion has its own learning curve -- nothing too scary. If anything, once you learn the basics you're more likely to overcomplicate things. So, remember: just becase you can do it doesn't mean you should!

What problems is Notion solving and how is that benefiting you?

I'm a freelance teacher. I need to keep my books, create lesson plans, create homework materials (which should be reusable and thus referenceable), organise schedules, keep track of student information, etc. Notion allows me to focus on work, rather than juggling 5+ pieces of software.

"Amazing tool, still with loads to offer!"
What do you like best about Notion?

The way it centralises information from all areas. Makes it easy to find documents and information while maintaining a level of professionalism. Can also be personalised

What do you dislike about Notion?

The database system can be very clunky I find personally, and I also think that there are not enough options for data categories. Daya feels very trapped in the strict boundaries of database

What problems is Notion solving and how is that benefiting you?

It keeps a journal and ledger of all activities of employees. Each employee finds it easy to use and has picked it up very easily, even the older ones who are mid technophobe!

"Notion changed my life"
What do you like best about Notion?

It's the best personal organization tool there is. No competition gets close. It's neat, simple to start using, yet complete in features. I like how everything can be connected, searched for, mentioned etc. The hierarchy structure is awesome too. One of the latest features I liked the most was the sub-item and parent-item in databases.

What do you dislike about Notion?

1) Slow to load. It's getting better, but I'm used to faster apps on Windows and Android. 2) No offline access: there's no way to choose pages to keep offline on your phone. It's also getting better, but many apps already allow offline editing, saving, etc. 3) No automations. The first automation came very recently, with the recurring templates. But some IFs and THENs would be a great addition to the databases. In Trello that is very easy to do. ClickUp has been showing off that feature on their ads too. I think it's time for Notion to catch up with the features of its competitors. 4) Sometimes I experience bugs when writing fast on Android. I think Notion tries to sync everything in real time and then I experience some lagging issues. The last words disappear for no reason.

What problems is Notion solving and how is that benefiting you?

I use Notion for everything in my life. Everything is there. Personal projects, notes, references, task list, documentation, catalogs... It has solved every organization problem I had. Now I put all my notes in Notion and can easily find them. I can mention them in other pages, structure them in a database etc. Every planning I have to do I do in Notion too. Sometimes I need to use Google Sheets and Forms too, so I embed them in Notion, so I don't have to leave the platform at all.

"An amazing tool for individuals and teams."
What do you like best about Notion?

Notion helps me manage my tasks and projects. I can see everything I'm working on at a glance. I like that it allows me to build my own custom workspace. I've recommend it to every organization I work with.

What do you dislike about Notion?

I can't say there's anything I dislike about Notion. If I'm to think hard about it, I'd say probably the fact that Notion AI sometimes produces non-factual output.

What problems is Notion solving and how is that benefiting you?

Notion helps me stay organized and consolidates the major features of all the tools I used in the past into a single workspace. I used to have a problem with people I manage being unorganized. Now I simply create a templete for them so they can handle my work in an organized manner.

What do you like best about Notion?

There's a variety of different ways to store information all in one place. The creativity allowed and the versatility of Notion is very impressive. I haven't found another solution that can do so much in one place.

What do you dislike about Notion?

Occasionally I wish that more advanced features were easier to find. But the external community around Notion helps fill those gaps.

What problems is Notion solving and how is that benefiting you?

Notion houses our knowledge bases, general documents, and some light project management. Having all of those in one place reduces friction and helps us communicate faster and more effectively.

The only thing I do not like about Notion is not being able to use my own domain name for sharing. It has to be with notion.so prefix which is annoying because I have to share these links to my enterprise customers.
